Office Manager

McKay Brothers is a ten-year old company that provides telecommunications and data services to firms trading in global financial markets. We have retained our spirit of a bootstrapped start-up even as we have grown into an industry leader serving a roster of very sophisticated clients. We have an immediate need for an Office Manager at our US headquarters in Uptown Oakland, California. This is a full-time on-site position. 

 The ideal candidate is an energetic professional with a wide range of administrative experience and loves connecting with and helping colleagues. The candidate must be a proven self-starter with close attention to detail and an ability to drive assignments to completion while balancing competing priorities. Organization, communication, and flexibility will be key to the candidate’s success in this role.

The Office Manager will be responsible for broad support needs to keep the office running smoothly. This position will report directly to the IT/Facilities Manager.

 

As a Office Manager you will:

  • Organize office operations and procedures;
  • Manage relationships with office vendors, service providers and office landlord;
  • Respond to employee queries regarding office management, facilities and office maintenance issues (e.g. hardware purchasing and maintenance requests);
  • Coordinate purchasing and inventory management of all office equipment and technology;
  • Assist in planning and scheduling of in-house or off-site activities, like meetings, parties, travel arrangements and conference attendance;
  • Run annual client gifting program;
  • Assist with tech support (e.g. running meeting software);
  • Ad-hoc administrative support upon request (e.g. correspondence).

 

Minimum requirements include:

  • 3+ years’ experience with office management or administrative assistance;
  • Proficiency in MS and Google Suite applications;
  • Familiarity with scheduling;
  • Strong organizational and time management skills;
  • Excellent interpersonal and communication skills;
  • Active notary public commission or willingness to gain notary credentials with company support.

Compensation will be commensurate with experience.
